Purchase Invoice

Menu Purchases → Purchase Invoices (`/purchase/invoices`). Record supplier bills (and returns / credit / debit notes), track open payable balance, create Payment Out from preview, and link back to Purchase Orders.

Return, Debit & Credit Notes

Purchase Invoice Preview includes extra actions — Create Return, Debit Note, and Credit Note — so you can send goods back or adjust supplier balances without losing the link to the original invoice.

Why these actions exist on Purchase Invoice

  • Unlike a simple PO, the finalized Purchase Invoice is the bill you may need to adjust after receipt
  • All three start from Purchase Invoice Preview so the adjustment stays linked to the source bill
  • After posting, recheck open / remaining and Payment History — net payable may change
  • Stock may move for returns — see Stock for In/Out warehouse context

The three actions

Create Return

Purchase Return when goods/services are sent back — quantities and value reduce what you effectively owe; often impacts stock.

Debit Note

Debit note against the supplier invoice for claims (shortage, price difference, quality) as per your GST/accounting practice.

C+

Credit Note

Credit note linked to the purchase invoice when the supplier grants credit or you record the matching credit document.

How to start from preview

  1. 1Open the purchase invoice → Preview
  2. 2Choose Create Return, Debit Note, or Credit Note from the actions / more menu
  3. 3Form prefills supplier and (where applicable) lines from the invoice — edit qty/amount as needed
  4. 4Save / Create the adjustment document
  5. 5Return to invoice preview — confirm open amount and related documents

When to use which

  • Return — physical or service return of billed lines; goods leave your warehouse / stock
  • Debit Note — you raise a debit on the supplier for under-delivery, damage, or agreed claim without (or in addition to) a full return workflow
  • Credit Note — supplier-side credit or your recording of credit against the purchase bill
  • Always keep the original invoice; adjustments are separate linked documents, not silent edits of paid history

Tip

After Return / Debit / Credit, open amount on list and preview may change. Pay only the new remaining open via Bank or Cash so you do not overpay the supplier.

Frequently asked

Can I create Return from the list?+

Start from Purchase Invoice Preview so the return/debit/credit stays linked to that invoice. Open View on the row first.

Do these replace payment?+

No. They adjust the bill. You still use Add Payment (and Payment History) for cash/bank settlement of whatever remains open.

Is this available on Purchase Order preview?+

Create Return, Debit, and Credit are purchase-invoice preview actions. PO preview focuses on Generate Purchase Invoice and related invoices. See Purchase Order.
